The website is hosted by SiteGround Spain S.L., Calle de Prim 19, 28004 Madrid, Spain. When you access the site, technically necessary server log data may be processed, in particular IP address, time, requested file, amount of data transferred, referrer, browser and operating system.

The processing serves the secure, stable and efficient provision of the website. The legal basis is Art. 6 para. 1 lit. f GDPR. According to the information in the previous privacy policy, a data processing agreement exists with the host.

3. Cookies and local fonts

The current static website does not set any optional analytics, marketing or personalisation cookies through its own functions. The fonts used are loaded locally from the own web server; no connection to Google Fonts or any other font provider is established.

If the functional scope is later extended to technologies requiring consent, these will only be activated after consent and these notices will be updated before activation.

4. Contact by e-mail or phone

If you contact us by e-mail or phone, we process the contact data you provide and the content of your enquiry for processing and for follow-up questions. For contract-related enquiries, Art. 6 para. 1 lit. b GDPR is the legal basis; otherwise Art. 6 para. 1 lit. f GDPR or, if obtained, your consent.

The data will be deleted when the purpose of processing ceases to apply and no statutory retention periods or other legal grounds oppose deletion.

5. Appointment booking with Microsoft Bookings

Once the shared booking page is released, the button for selecting an appointment leads to an external Microsoft Bookings page. The Bookings page is not automatically embedded into this website. Only when you open the link and submit information there will the data required for appointment scheduling, confirmation and conduct be processed. This may include name, business contact details, company, application information and selected appointment.

The processing serves the implementation of pre-contractual measures and the handling of your consultation request under Art. 6 para. 1 lit. b GDPR; where no contractual relationship exists, it is based on our legitimate interest in reliable appointment organisation under Art. 6 para. 1 lit. f GDPR. Microsoft processes data as the deployed Microsoft 365 service provider. Further information can be found in the privacy statement of Microsoft.

6. Product documents

Technical data sheets and safety data sheets are not made available directly for retrieval or download on this website. A specific document request is forwarded exclusively from the respective product context to the application technology department. The documents are provided only after technical review and without automatic dispatch.

For processing, the contact data marked as required in the request form, the selected product or topic and any voluntarily added application details are processed. The legal basis is the handling of your request under Art. 6 para. 1 lit. b GDPR or, where no contractual relationship exists, Art. 6 para. 1 lit. f GDPR.

7. Orientation assistant

As long as no verified AI endpoint is activated, the assistant processes questions exclusively locally in the browser based on the publicly provided product information. In this fallback mode, the input is not transmitted to Voitländer-International or an AI provider.

After separate production release, the input may be transmitted to an n8n endpoint operated by us and from there to the deployed AI service provider. Data processed then includes in particular the question text, language, technical connection data and limited session information. The assistant does not request sensitive or confidential information. Please do not enter such data voluntarily.

Before activation, legal basis, data processing agreement, recipients, possible third-country transfers, specific retention period and deletion concept will be reviewed professionally and this privacy notice will be updated according to the actual production configuration.

8. Retention period and recipients

Personal data is stored only as long as required for the respective purpose. Statutory commercial and tax retention periods remain unaffected. Data is only transmitted to service providers or other recipients when this is necessary for the performance, legally prescribed or otherwise legally permissible.

9. Your rights

Subject to the statutory requirements, you have in particular the right to:

• information about your processed personal data,
• rectification of inaccurate data,
• erasure or restriction of processing,
• data portability,
• objection to processing based on legitimate interests,
• withdrawal of consent with effect for the future,
